This notice explains how CLE LTD. (“CoachRocks”, “we”, “us”) uses artificial intelligence (AI) and related automation in the CoachRocks platform (the “Services”). It supplements our Privacy Policy and Terms of Service.

CoachRocks is designed for professional coaches. AI features are assistive: they do not replace your professional judgment, ethics, or duties to clients.


1. You are interacting with AI-supported features

When you use certain features of the Services, outputs are produced in whole or in part using AI systems, including third-party AI services integrated into our product. You should assume that transcription, analysis, suggestions, and generated content (such as summaries, themes, action items, recommendations, follow-up drafts, “reels” or similar marketing-style content, and visual or textual artefacts derived from sessions) may be AI-generated or AI-assisted, unless we clearly label a specific feature as non-AI.


2. What the AI is used for (intended purpose)

Depending on your settings and product configuration, AI may be used to:

Notifications and draftsSupporting emails or in-product text that summarise or follow up on session content, where enabled.

The intended purpose is to save time and support coaches in organising and reflecting on session material—not to make autonomous decisions about people.


To provide these features, personal data contained in recordings and transcripts may be transmitted to third-party processors for processing on our instructions. Based on our current architecture, such providers may include categories such as:

  • AI and speech providers (e.g. providers offering transcription and language models for analysis and generation).
  • Meeting or bot integrations that join or process online meetings and return transcripts or related data.

Provider names, roles, and updates are listed in our Privacy Policy and at https://coachrocks.com/subprocessors (or on request from support@coachrocks.com). Technical and organisational measures are described in our agreements with those providers.

International transfers: Data may be processed outside your country, including in the United States. We use appropriate safeguards (e.g. Standard Contractual Clauses) where required—see the Privacy Policy.


4. Limitations, accuracy, and bias

You should treat all AI outputs as drafts subject to human review.

  • Accuracy: AI may hallucinate, omit context, or misinterpret nuance, accents, names, or specialist terminology. Transcription errors can cascade into analysis.
  • Bias and fairness: Models may reflect biases present in training data or prompts; outputs may be unfair, stereotypical, or inappropriate for a given context.
  • Not advice: Outputs are not medical, mental health, legal, financial, or other regulated advice. They are not a clinical or diagnostic tool.
  • Sensitive information: Sessions may contain special category information spoken aloud. Do not rely on AI to detect or handle such information appropriately; you remain responsible for lawful processing and professional standards.

Coaches should verify outputs before sharing them with clients or third parties.


5. Human oversight (your responsibility)

The Services are built on the expectation that you (the coach) exercise human oversight:

  • Review, edit, or reject AI-generated text before use or sending.
  • Correct errors in client records and analyses.
  • Decide what is ethically and professionally appropriate for each client.

We may add product features (e.g. editing, versioning, feedback) to support oversight; availability depends on the product version you use.


6. Transparency for people you work with

If you share AI-derived content with clients or others, you should explain that content was created with AI assistance, in line with your professional rules and applicable law. CoachRocks provides this notice to you as a user; coaches remain responsible for transparency toward their clients where required.


Where AI processing of personal data requires a lawful basis under GDPR or other laws, coaches must ensure they have a valid basis (e.g. contract, consent where required, or legitimate interest with appropriate balancing and transparency). CoachRocks processes data as described in the Privacy Policy and, for client data controlled by coaches, as processor under applicable agreements.

If we offer in-product controls for AI features (e.g. opt-out where feasible), we will describe them in product documentation or settings.

9. Regulatory context (informational)

Regulators may classify certain AI systems as high-risk or impose transparency duties (e.g. under the EU AI Act). This notice is intended to help meet transparency expectations for users. It does not by itself constitute a conformity assessment or legal classification. CLE LTD. works with advisors to align the product with evolving obligations.
